AI & AUTOMATED TOOLS DISCLOSURE

1.    PURPOSE

This disclosure explains how Newbold Connect may use automated tools (including AI-assisted services) to support the delivery, accessibility, safety, and improvement of the Platform.

It is designed to be transparent and to protect learner trust.

2.   WHERE WE MAY USE AUTOMATED TOOLS

Newbold Connect may use automated tools (including AI-assisted services) in the following areas:

2.1.     Accessibility support (captions and transcripts)

We may use automated tools to generate or assist with:

  • video captions (closed captions or open captions)
  • transcripts of Class episodes
  • timing alignment between audio and text

Where automated tools are used, captions/transcripts may contain errors. We treat captions/transcripts as an accessibility support feature, not an authoritative record.

2.2.    Content quality operations (internal use)

We may use automated tools to support internal workflows such as:

  • formatting and preparing content for publication (e.g., titles, summaries, metadata)
  • identifying possible inconsistencies (e.g., repeated phrasing, missing citations, broken links)
  • flagging potential safeguarding/claims-risk triggers for human review (flagged items are reviewed by the Newbold Connect Safeguarding Lead or designated QA reviewer within 2 working days of flagging)

Automated tools do not replace Newbold Connect’s QA process or human sign-off.

2.3.    Learner support operations (limited)

We may use automated tools to support support-team efficiency, for example:

  • sorting and routing support enquiries
  • suggesting draft responses for staff review

Any final response to a learner is reviewed by a human before being sent.

2.4.   Interaction Spaces (where enabled)

If curated Q&A or time-bound live sessions are enabled for a specific Class/event, automated tools may be used to assist moderation (e.g., spam detection, keyword flagging). Human moderators remain responsible for decisions.

3.   WHAT WE DO NOT DO (GUARDRAILS)

Unless explicitly stated at the point of use, Newbold Connect does not use automated tools to:

  • make decisions with legal or similarly significant effects about you without meaningful human involvement
  • provide personalised medical, psychological, legal, or financial advice
  • present automated outputs as professional counsel

4.  THIRD-PARTY SERVICE PROVIDERS

Some automated tools may be delivered by third-party providers (for example, captioning or analytics providers). Where those providers process personal data on our behalf, we put appropriate contractual safeguards in place and describe the categories of recipients in our Privacy Policy.

5.   ACCURACY AND LEARNER REPORTING

If you notice an accessibility error (e.g., incorrect captions/transcripts), you can report it to:

Our use of automated tools operates under our Privacy Policy and Cookies Policy. Where cookies or similar technologies are used for analytics or marketing, consent controls apply via the cookie banner.
